Dayworks: when they apply and what the sheet must show
The short answer
Dayworks value work by the actual labour, plant and materials used, plus percentage additions, rather than by measurement. Under standard forms they are the last of four valuation rules and apply only where work cannot properly be measured. The percentages come from the contract or from the RICS and BCIS Definition of Prime Cost of Daywork. The record sheet is the whole of the claim: it must be raised daily, name the operatives, state hours, plant and materials, and be signed by the employer’s representative at the time. A sheet signed weeks later, or not at all, is regularly rejected.

When do dayworks properly apply?
Only when the work cannot properly be valued by measurement. The contract sets an order and dayworks sit at the bottom of it.

Typical genuine cases: opening up to investigate an unknown, chasing an unmapped service, attendance on somebody else’s trade, or works so fragmented that measurement would cost more than the work.
Difficult to measure is not the same as impossible to measure. A quantity surveyor will reprice on rates whenever measurement was available, and the daywork sheets then become supporting evidence rather than the claim.
What must a daywork sheet record?
- Date and location. The day, and where on the site.
- The instruction it relates to. Reference number, and who gave it.
- Operatives by name and trade. Not "3 men". Named, with their trade and hours, split between normal and overtime.
- Plant. Item, hours on the work, and whether it was standing or working.
- Materials. Quantities and description, with invoices to follow.
- A description of the work done. Enough that somebody who was not there understands it.
- Signature of the employer’s representative. With the date signed.
NoteA signature confirms the resources were on site as recorded. It is not agreement that the work is properly valued as daywork, and most sheets say so in the wording above the signature line.
How are the percentages built up?
The prime cost is the actual cost of labour, plant and materials. Percentages are then added for incidental costs, overheads and profit, and they are tendered rather than fixed.

Percentages are tendered. The ranges are common, not prescribed.
The labour addition looks large and is not generous. The RICS and BCIS definition builds an all-in hourly rate covering employer’s NI, holiday, pension, sick pay, training and severance, and the percentage on top covers supervision, small tools, consumables, overheads and profit.
Why are daywork claims rejected?
- 01The work could have been measured. The most common reason, and the hardest to answer after the fact.
- 02Sheets were submitted late. Many contracts require submission within days, and some make it a condition.
- 03No signature. Or a signature from somebody without authority.
- 04Names missing. "4 labourers" cannot be checked against site records; four named people can.
- 05Hours that do not reconcile. Against the site attendance record, the gate log or the timesheets.
- 06No instruction referenced. Work nobody instructed is work nobody has to pay for.
Points four and five are worth pairing. Where site attendance is recorded, hours on a daywork sheet can be checked against who was actually on site that day, and a sheet that reconciles is very hard to argue with.

Frequently asked
Can I insist that work is valued as daywork?
No. The valuation method is set by the contract and daywork is the last resort. Where the work can properly be measured, it will be, and your sheets become records supporting the measurement.
What if the site agent refuses to sign a daywork sheet?
Submit it anyway, in writing, noting that signature was refused and why. An unsigned sheet submitted at the time is far stronger than one produced later, and the refusal itself becomes part of the record.
What is the RICS Definition of Prime Cost of Daywork?
A published document, issued with BCIS, that defines how the all-in labour rate and the prime cost of plant and materials are calculated. Most contracts refer to it so both sides start from the same build-up.
Are dayworks paid in interim valuations?
Yes, once agreed. Include them in the [payment application](/blog/applications-for-payment-vs-invoices) with the signed sheets attached. Sheets held back until the final account tend to be argued over rather than paid.
Does overtime attract a higher daywork rate?
The prime cost of labour reflects the actual rate paid, so overtime is recovered where it was properly incurred and recorded. The sheet has to show the split between normal and overtime hours for that to be checkable.
