Sector — plumbing & heating

Software for plumbing and heating firms

Estimark runs a plumbing and heating firm’s week: CP12 and gas soundness certificates signed on the device, appointment windows a tenant will actually take, maintenance contracts with scheduled visits and optional automatic invoicing, and stock tracked on the van rather than guessed at.

What actually goes wrong

01

A whole-day window nobody can take

The tenant is at the school gate at 3pm, so an all-day slot becomes a no-access visit and a second truck roll.

02

The CP12 is a paper pad in the van

It gets photographed, emailed, lost, and then asked for by the landlord six months later.

03

Service contracts get forgotten

The annual visit is somebody’s calendar reminder, and the invoice for it is somebody’s memory.

04

The part was on the other van

Without stock on record, the second visit is booked before anyone knows it was avoidable.

Sector — how it works

What appointment windows can I offer?

Five window types, including a school-run-friendly slot, with every stage of the visit timestamped.

WindowTimes
Morning8am – 1pm
Afternoon12pm – 5pm
All day8am – 5pm
School-run friendly9:30am – 2:30pm
TimedA specific appointment time
  • Status runs proposed, confirmed, en route, arrived, completed — plus no access, cancelled and rescheduled.
  • A no-access visit records a reason and a link to the evidence, so an aborted call is defensible with the client.
  • Appointments are assigned to an operative or a contractor, and there is an operative diary view.
  • Confirmation, reminder, “on my way” and satisfaction messages by SMS or email are the Customer Comms bolt-on at £29/month, sent per appointment.

Can I issue a CP12 from the app?

Yes. CP12, gas soundness and PAT are first-class certificate types with test-result fields typed to each one.

  • A CP12 has gas checks and an appliance section; a soundness certificate has the tightness test.
  • Every certificate stores the number, issue date, expiry date, property address, who issued it and whether it was satisfactory.
  • The customer signs on the device with their name and a timestamp, and the certificate renders as a branded PDF.

How do maintenance contracts work?

A maintenance contract holds the service type, frequency, price and term, tracks the last and next visit date, and can raise the invoice automatically.

  • Each visit records the date, the technician, duration, notes and photos.
  • A visit can be linked to the invoice it was billed on.
  • VAT is applied to a contract invoice through the same route as every other invoice, including the reverse charge if the client is flagged for it.

Do you handle landlord gas safety across a portfolio?

Yes, through the Property Compliance bolt-on at £149 a month, where the landlord gas safety record renews on a 12-month cycle per property.

  • The register also covers EICR at 60 months, fire risk at 12, legionella at 24, asbestos at 12, lifts at 6, alarms at 12 and EPC at 120.
  • A record is compliant, due soon, overdue, no access or not applicable, with due soon opening 30 days out.
  • Recording an inspection rolls the next due date forward and stores the certificate reference and inspector.

NoteIt is a register you review — there is no automatic reminder email when a certificate is coming due.
