Estimark and QuickBooks Time, compared for UK trades

Firms already running QuickBooks, where the point of tracking time is getting it into payroll and onto an invoice.

• Its pull is the accounts package it belongs to, so hours clocked on a phone arrive where the wages are run.
• It sells at field teams and trades in general rather than at construction sites in particular.

On 15 September 2026 Intuit’s UK pricing page listed Premium at £16 a month for the company plus £6 per user a month, so a ten-person firm came to £76 a month before VAT.

• Elite was £30 a month plus £8 per user a month on the same page on 15 September 2026, which is £110 a month before VAT for ten people.
• The base fee is charged whether one person clocks on or ten, so the per-user rate on its own understates what a small firm pays.
• Intuit’s page put VAT on top of both figures, and Intuit runs introductory offers from time to time, so treat these as list price.
• Estimark is priced per firm rather than per head. Timesheets is included from Solo up, so the clock is part of the plan rather than a line beside it.

UK trades and SME contractors who need the gate, the timesheet and the job cost to be one record.

• Check on and off site by QR code at the entrance, with a GPS fix taken at the scan and a typed gate code for a phone that will not read it.
• A live muster roll of everyone currently on site, covering employees, subcontractors, visitors, deliveries and inspectors.
• Clocking out writes the timesheet entry, so the hours reach job costing and the payroll export without being typed on a Friday.
• Site induction, an in-date CSCS card and acceptance of the current RAMS can each be required before a clock-on is accepted.

It handles the four obligations a UK contractor is judged on: CIS deduction, the VAT domestic reverse charge, Construction Act payment timing, and the safety records that go with them.

• CIS deducted on labour only, excluding materials, VAT and plant hire, on 6th-to-5th tax months, with HMRC verification when connected and the CIS300 recorded with both statutory declarations.
• VAT domestic reverse charge under section 55A: the statutory wording on the invoice, nil VAT, controlled per client.
• Payment applications with Construction Act dates, the pay less deadline calculated, and retention tracked to release.
• RAMS with operative sign-off, inductions, permits and a live muster roll, plus EIC, EICR, Minor Works, PAT and CP12 certificates with typed test results.

NoteEstimark records the CIS300 and locks it to its tax period. It does not file the return to HMRC on your behalf.

When your wages already run through QuickBooks and what you want is hours in the wage run rather than a record of who was on site.

• Estimark exports approved hours as a CSV your payroll can read. It does not run payroll, work out PAYE or file RTI, and there is no direct feed into a payroll product.
• Shift patterns are a different problem from sites. Estimark puts people on jobs by date range and has no rota with patterns, swaps or availability.
• Estimark has no biometric hardware: no fingerprint reader, no facial recognition, no turnstile. A main contractor specifying biometric gate control needs a product built for it.
