Capability: Tenders

Public tenders matched to your firm, and your accreditations on file

Estimark reads Find a Tender, Contracts Finder, Public Contracts Scotland and Sell2Wales every morning and matches the building work to your firm, by the regions, contract values, trades, keywords and buyers you choose. Your accreditations are kept with their certificates, and what you hold in date is printed on your quotes, RAMS, tender documents and PQQ evidence pack, with anything expired left off.

Opportunity settings for public tenders: the regions a firm works in and the contract value range, each with a box to make it a rule, and the trades below them.

Where the time goes on public work

01

Alerts full of work you would never bid for

A highways framework four counties away, a cleaning contract, a call-off from a framework you are not on.

02

The certificate is somewhere in an email

A PQQ asks for your CHAS and your insurance schedule, and the search starts.

03

A lapsed certificate goes out in a bid

A capability statement copied from last year names an accreditation that ran out in the spring.

04

The grade matters and nobody wrote it down

A tender asking for Constructionline Gold is not answered by “Constructionline”.

Capability: how it works

How does Estimark match public tenders to my firm?

Every morning it reads the four UK portals and scores each building notice against your company: the regions you work in, the contract values you want, your trades and the accreditations you hold. The best new matches arrive by email each morning on every plan. The full list of tenders, your matches and the bid pipeline come from Pro; on the other plans the Opportunities page shows how many tenders match.

  • Find a Tender, Contracts Finder, Public Contracts Scotland and Sell2Wales, read every morning.
  • The daily email goes to the owner and admins with up to five of the best new matches, and only when there is something new.
  • Each person can stop or restart their own email.
  • A tender you have saved, moved along the pipeline or analysed always stays, and nobody is sent the same tender twice.

What can I set in Estimark’s tender opportunity settings?

What you hear about, as rules as well as preferences. Turn a rule on and notices outside it are dropped before they are scored; leave it off and it only shapes the score. Saving applies the settings straight away to the open tenders already found.

  • Regions, with or without notices that do not say where the work is.
  • A contract value range, and whether to see notices that state no value.
  • Trades, words a notice must mention and words that hide it.
  • Kinds of buyer, such as councils, the NHS, schools and colleges and housing associations.
  • Frameworks and dynamic purchasing systems, and call-offs only their members can bid for.
  • A minimum number of days before the closing date, and which portals to read.

NoteThe kind of buyer is worked out from the buyer’s name, and a framework from the notice’s wording on three of the four portals, so a notice that never says what it is can slip past those two rules.

How are accreditations recorded in Estimark?

With the certificate, in one step. Choose the certificate file, have it read into the form if you like, check what was filled in, and save the record and the certificate together. The form asks for what that scheme’s certificate states: the grade, the number, the scope and the certification body where it has them, and the dates.

  • SSIP schemes such as CHAS, SafeContractor, SMAS Worksafe and Constructionline come first, then ISO certification, competent person schemes such as Gas Safe, NICEIC, NAPIT, OFTEC, HETAS and FENSA, TrustMark, PAS 2030 and 2035, MCS, NHBC, the FMB, the NFRC, the Considerate Constructors Scheme, Living Wage Employer and CITB, and any other scheme by name.
  • Read it for me fills in the form from the certificate. You check every field before saving, and nothing is saved until you do.
  • Insurance policies are added the same way, and an insurance schedule picked in the accreditation form is moved across, filled in.
  • If the certificate cannot be saved, neither is the record, so nothing sits on the register with no certificate behind it.

Where are my accreditations printed?

Wherever your company’s credentials are stated, from one answer of what you hold today. An expired certificate is never printed as held.

  • Quotes: the accreditations you hold and their numbers, under your address.
  • RAMS: your health and safety accreditations and your liability cover, in the details at the top.
  • Tender documents: the capability statement and the health and safety summary list what you hold, with numbers, cover and expiry dates, written from your register and not by the AI.
  • The PQQ evidence pack: every certificate you hold with the files enclosed, and a note of anything left out because it has expired.
  • Tender matching scores the accreditations you hold, so a lapsed CHAS earns nothing.

NoteEstimark holds no certification of its own. These records are yours, kept so your documents state your accreditations correctly.

Held and targets: the accreditations and insurance a firm holds today with their numbers, cover and expiry dates, and the expired certificate named as left off every document.

Can Estimark show what an accreditation scheme will ask me for?

For the schemes most firms work towards, yes. Held and targets lists everything in date today, and for Constructionline Silver, Gold or Platinum, CHAS Advanced or Elite, or SafeContractor it sets what the scheme asks to see against what you hold.

  • Each line says held, expiring within 90 days, cover below the legal minimum, held at another grade, or missing.
  • Lines that apply only to some firms are marked “if it applies”.

NoteA scheme will also ask for policies and records Estimark does not keep, such as your health and safety policy. The list shows what you hold against what the scheme asks for; it is not an assessment.

Does Estimark submit tenders for me?

No. Estimark finds and matches the notices, holds the documents, questions and price for each bid, and drafts documents for you to review. The bid itself goes in on the buyer’s own portal, and you mark it submitted in Estimark.

Questions

Tenders & accreditations: frequently asked

Does Estimark find public sector tenders?

Yes. Every morning it reads Find a Tender, Contracts Finder, Public Contracts Scotland and Sell2Wales, matches the building work to your regions, contract values, trades and accreditations, and emails the owner and admins up to five of the best new matches when there is something new.

Can I stop tender alerts for work I would never bid for?

Yes. Opportunity settings turn regions, a value range, trades, keywords, kinds of buyer, frameworks and portals into rules, so a notice outside them is dropped before it is scored. Saving re-checks the open tenders already found, and you are never emailed the same tender twice.

Will an expired accreditation appear on my documents?

No. Quotes, RAMS, tender documents and the PQQ pack all print from one answer of what you hold today, and an expired certificate is left off every one of them. The PQQ pack tells you what it left out.

Is Estimark itself accredited?

No. Estimark holds no certification of its own. The accreditation records are yours, kept with your certificates so your documents state what you hold correctly.
