Estimark and SafetyCulture, compared for UK sites

Any business doing inspections, checklists and issue reporting from a phone, across every industry rather than construction in particular.

• Its strength is the template builder and the public library of templates behind it, and it sells into manufacturing, retail, hospitality and transport as readily as into construction.
• It is free for a team of up to ten people, which puts a ten-person contractor inside the free plan on headcount alone.
• It now trades as Mitti, and the old safetyculture.com address redirects to mitti.com.

Nothing. Its free plan is capped on headcount at ten team members, and a ten-person firm sits inside it.

• The first paid plan is listed at US$24 a seat a month billed annually, or US$29 billed monthly, excluding tax. Enterprise is quoted rather than listed.
• There is no sterling list price anywhere on the pricing page. International customers are billed in US dollars, so a UK buyer carries the exchange rate and has UK VAT added on top.
• What else the free plan caps, beyond headcount, is a question for their own site. The headcount limit is the part that was checked.

RAMS held as versioned documents and signed per operative, with site inductions, toolbox talks, permits to work, near miss and accident recording, and CSCS card expiry, all against the job.

• A revision is a new version rather than an edit, and a sign-off records which version that person accepted, with their drawn signature, the method, the time and the IP address.
• Toolbox talk attendance is signed on the phone, timestamped on the device rather than when the server heard about it, and hashed against the talk it was given for.
• Site clock-on can be gated on a valid induction, an in-date CSCS card and acceptance of the current RAMS version, set to off, warn or block per job.
• The site register covers employees, subcontractors, visitors, deliveries and inspectors, so the muster roll a fire marshal reads is everybody who is on site.
• Inspectable assets, inspection regimes, inspections and safety actions cover the recurring statutory inspection, and the accident book dates the RIDDOR deadline from the accident.

No general template builder, no public library of templates, and no free tier.

• Estimark has inspection regimes against assets and form templates. It has nothing like a public catalogue of checklists to start from, and it cannot be had for nothing at any size.
• Estimark holds no safety accreditation. It is not SSIP registered, not CHAS, SafeContractor or SMAS assessed, and holds no ISO 27001, SOC 2 or Cyber Essentials. Using it does not accredit you and does not shorten an assessment. It holds the evidence an assessor asks for.
• It does not file to RIDDOR. It classifies the duty, dates the deadline and chases it, and the F2508 is still submitted by a person on hse.gov.uk.
• It does not check a CSCS card against the card scheme. Numbers and expiry dates are entered by hand, and Estimark tracks the expiry from there.

NoteEstimark also records the CIS300 rather than filing it to HMRC, and takes no card payment on a customer’s behalf.

It handles the four obligations a UK contractor is judged on: CIS deduction, the VAT domestic reverse charge, Construction Act payment timing, and the safety records that go with them.

• CIS deducted on labour only, excluding materials, VAT and plant hire, on 6th-to-5th tax months, with HMRC verification when connected and the CIS300 recorded with both statutory declarations.
• VAT domestic reverse charge under section 55A: the statutory wording on the invoice, nil VAT, controlled per client.
• Payment applications with Construction Act dates, the pay less deadline calculated, and retention tracked to release.
• RAMS with operative sign-off, inductions, permits and a live muster roll, plus EIC, EICR, Minor Works, PAT and CP12 certificates with typed test results.

NoteEstimark records the CIS300 and locks it to its tax period. It does not file the return to HMRC on your behalf.

When the job is inspections and checklists, when the team is ten people or fewer, and when the commercial side is settled somewhere else already.

• At that headcount it costs nothing, and nothing is hard to argue against.
• A firm that wants to build its own inspection templates, or take them off a public library, is buying a template builder. Estimark has no general one.
• A main contractor who already runs it on every site has settled the question for their subcontractors.
