A heating firm’s year runs on two calendars the rest of the trades do not have: the twelve-month landlord gas safety check, and the expiry dates on each engineer’s Gas Safe card. A Gas Safe card carries a date per work category, per fuel, per premises. One expiry date in a spreadsheet cannot say that the boiler category is live and cabinet heaters ran out in March.
The annual service is somebody’s memory
The customer paid for a service plan. The visit was a calendar reminder on a phone that has since been replaced, and the invoice for it was never raised.
The CP12 is a photograph of a pad
The readings are in handwriting on a JPEG, so nobody can search for the appliance that failed spillage last year, and the landlord asks for a copy six months on.
The landlord’s twelve months slipped
Forty properties, forty renewal dates, and the ones that went overdue were the ones nobody was looking at that week.
Sector: how it works
Can I issue a CP12 and a tightness certificate from the phone?
Yes. CP12 and gas tightness are certificate types with their own typed fields, so the readings land as data and the customer signs on the device.
- The CP12 carries the installation checks (tightness pass or fail, the emergency control valve, the CO alarm, the warning notice) and an appliance table with flue type, operating pressure, gas rate, CO reading and the flue flow and spillage results per appliance.
- The tightness certificate carries the test itself: meter, test pressure, permitted drop, actual drop, and the pass or fail.
- Every certificate stores its number, issue date, expiry date, property address, who issued it and whether it was satisfactory, and renders as a branded PDF.
- A reading that is not on the certificate’s own schema is refused rather than stored as free text, so a CP12 cannot go out with the appliance section blank.
- PAT certificates are also built in, with class, earth continuity, insulation resistance and retest date per appliance.
NoteEstimark does not notify the Gas Safe Register of installation work. The engineer does that as now, and the certificate is the record of the check rather than the notification.
How does it know which engineer may sign?
An engineer’s Gas Safe card is held as one expiry date per cell, work category against fuel against premises, and issuing a CP12 or a tightness certificate is checked against it.
- The domestic categories are catalogued: cooker, boiler, water heater, warm air, range cooker, fire and space heater, tumble dryer, pipework, combustion analysis, fumes investigation, meters, cabinet heaters, leisure, caravans and boats.
- Natural gas and LPG are separate columns, as they are on the card. A boiler competence on natural gas says nothing about LPG.
- A cell with no date is no competence. The legend printed on the card says the same of an empty box.
- The card number and its overall expiry sit in Training & Qualifications, with a flag 30 days before anything runs out. Training & Qualifications is included from Pro.
NoteOnly the domestic categories are catalogued so far. A commercial engineer’s non-domestic categories cannot yet be recorded cell by cell, and the certificate check cannot cover them until they are.
How do annual services and reminders work?
A maintenance contract holds the service type, frequency, price and term, tracks the last and next visit date, and can raise the invoice automatically.
- Each visit records the date, the engineer, the duration, notes and photographs, and can be linked to the invoice it was billed on.
- Appointments are offered in five windows, including a school-run-friendly 9:30am to 2:30pm slot, with every stage from confirmed to arrived timestamped.
- Confirmation, reminder, “on my way” and satisfaction messages go by SMS or email per appointment through the Customer Comms bolt-on at £29 a month +VAT.
- A no-access visit records a reason and a link to the evidence, so an aborted call is defensible with the landlord.
NoteThe reminder that goes out is the appointment reminder, once a visit has been booked. Estimark does not email a customer on its own when a service anniversary approaches: the next visit date sits on the contract for you to book from.
Do you handle landlord gas safety across a portfolio?
Yes, through the Property Compliance bolt-on, where the landlord gas safety record renews on a twelve-month cycle per property, the interval regulation 36 of the Gas Safety (Installation and Use) Regulations 1998 fixes.
- The register also carries EICR at 60 months, fire risk at 12, legionella at 24, asbestos at 12, lifts at 6, alarms at 12 and EPC at 120, and says which of those the law fixes and which are defaults.
- A record is compliant, due soon, overdue, no access or not applicable, with due soon opening 30 days out. A record with no due date is treated as overdue, not as compliant.
- Recording an inspection rolls the next due date forward and stores the document reference and the inspector.
- Property Compliance is priced on a quote, sized to the stock you look after.
NoteIt is a register you review. There is no automatic reminder email when a record is coming due, and the two-month early-check window that preserves a renewal date is something you apply when you record the check.
What about the van and the parts?
Van Stock tracks parts by location, van, store or site, with every movement recorded as a receipt, an issue, a return, a transfer or an adjustment.
- A part issued to a job comes off the van and onto the job cost, so the second visit for a part that was on the other van becomes visible as a stock question rather than a memory.

Core at £129 a month +VAT covers up to 5 users with no job limit, which is the usual shape of a firm with a few vans out and someone in the office.

Can Estimark stop an engineer issuing a CP12 they are not competent for?
Yes. The Gas Safe card is held as one expiry per work category, fuel and premises, and issuing a CP12 or a tightness certificate is checked against the cell the work needs. A boiler competence that is live on natural gas and absent on LPG is recorded as exactly that. Only the domestic categories are catalogued so far.
Does Estimark remind customers that their annual service is due?
It reminds them of an appointment once one is booked, by SMS or email through the Customer Comms bolt-on. It does not send a message of its own when the service anniversary comes round: the contract holds the next visit date, and booking from it is a job for the office.
How often does a landlord gas safety check have to be done?
At intervals of not more than twelve months, on every gas appliance and flue the landlord is responsible for, by a Gas Safe registered engineer, under regulation 36 of the Gas Safety (Installation and Use) Regulations 1998. The Property Compliance register renews on that cycle per property.
