A kitchen is one job for the customer and five for you: the strip-out, the first fix, the units, the worktop template and the second fix, done by four trades who have never met. How do I keep four trades on one job?

Subcontractor Management holds each trade with their insurance, scheme registration and accreditation dates, flags what is expiring, and compares quotes from more than one for the same package.

  • Schemes tracked with an expiry include NICEIC, NAPIT, Gas Safe Register, TrustMark, CHAS, SafeContractor and Constructionline.
  • Timesheets book each trade’s hours to the job, and Job Costing shows labour, material and subcontract against the quoted price as the job runs.
  • RAMS are versioned and signed per operative, and a toolbox talk is logged with a signed attendance list, if the site or the client asks for them.
  • Subcontractor Management is included from Core.

How are the units and the worktop tracked?

Purchase orders are raised against the job and receipted line by line, so the units can be received while the worktop stays on order, with the outstanding quantity visible.

  • The deliveries view lists what is on order and what has arrived across every live job.
  • A supplier is on the approved list with spend by supplier, in Supplier Management, included from Pro.
  • Appointment windows book the template visit and the fitting days in a slot the customer will be in for, with confirmation and reminder messages through Customer Comms at £29 a month +VAT.

How do deposits and stage payments work?

A deposit invoice is raised from the accepted quote, and a payment plan spreads the balance across stages, each with its own due date and amount.

  • The quote is signed in the portal with the signer’s name, email address, IP address and a timestamp, and optional lines let the customer choose the upgraded tap or the underfloor heating before they sign.
  • Every payment is a ledger entry with amount, date, method and reference. Over-payment is refused and a payment recorded in error can be voided.
  • Invoices push to Xero, QuickBooks or Sage Business Cloud Accounting, and payment status comes back once a day.

NoteEstimark does not take card payments from your customer and holds no finance integration. You invoice, and the money goes to your bank.

What happens when the stack has to move?

A variation is raised against the job, priced, and signed by the customer on the device at the door or in the portal, with the signature, the time and the price recorded.

  • From the phone app it starts with the photograph of the pipe behind the old units, so the reason is visible.
  • It lands on the invoice as its own line, so the customer sees the kitchen price and the extra separately.
  • Variations is included from Solo.

What certificates can I issue?

EIC and Minor Works certificates for the electrical work, a gas tightness certificate for the hob or boiler connection, and PAT, each with typed fields and a customer signature on the device.

  • A gas tightness certificate can only be issued by an engineer whose Gas Safe card shows the competence in date, cell by cell.
  • Certificates attach to the job and the property and render as branded PDFs, and the handover pack compiles them with the appliance manuals and warranties into one document.
  • Snags are numbered items with a photograph and a status that runs to signed off, and the warranty period per job records the date the certificate was issued. Warranty Management is included from Pro.
