Estimark’s Subcontractor Management module keeps a register of subcontractors with approval status, performance rating, CIS registration and verification, and accreditation numbers, and runs requests for quotation: an RFQ with line items, invitations to selected subcontractors, a portal token so they can price without an account, and returns priced line by line. It is included from the Pro plan (£249/month) up.
What the Subcontractor Management module does
- Registers subcontractors with trade, contact details, approval status, approval date, performance rating and notes.
- Holds CIS data on the subcontractor: registered flag, UTR, verification number, verification date, tax treatment and whether HMRC verified.
- Stores accreditation numbers, and tracks insurance policies and accreditations with cover amount, excess, start, expiry and renewal dates and a verification flag.
- Raises numbered RFQs against a tender or a quote with a title, description, due date and line items.
- Invites subcontractors to an RFQ and tracks each invitation through invited, sent, responded, accepted and declined.
- Issues a portal token per invitation, so a subcontractor prices the RFQ without an Estimark account.
- Receives returns priced line by line against the RFQ’s own line items, plus a total.
- Carries Xero, QuickBooks and FreshBooks contact references for pushed bills.
Subcontractor Management — how it works
How does an RFQ work in Estimark?
You raise a numbered RFQ against a tender or a quote with its own line items and a due date, invite the subcontractors you want, and each invitation carries a portal token giving that subcontractor a link to price it. Their return comes back as prices against your line items, not as a PDF you have to re-key, which is what makes the comparison meaningful.
How is subcontractor insurance tracked?
As policies against the subcontractor with a policy type, provider, policy number, cover amount, excess, start date, expiry date and renewal date, plus a verified flag. Accreditations are tracked the same way with a scheme, reference number, status, award date and expiry. Both hold the uploaded document.
How does this connect to CIS?
The subcontractor record carries the CIS position — registered or not, UTR, verification number, verification date, tax treatment, and whether HMRC verified them — and that determines the deduction rate applied when a payment is raised through the CIS module.

Do subcontractors need an Estimark login to price an RFQ?
No. Each RFQ invitation carries its own portal token, which gives the subcontractor a link to price your line items without creating an account.
Does Estimark chase expiring subcontractor insurance?
Insurance policies and accreditations are held with start, expiry and renewal dates and a verification flag, so expiry is a stored date that can be reported on rather than a certificate in a folder.
