Estimark’s Supplier Management module holds a supplier database with an approved flag, a performance rating, payment terms in days, an account reference, a category and multiple named contacts with roles. Because purchase orders reference the supplier record, spend by supplier is a query rather than an exercise. It is included from the Pro plan (£249/month) up.
What the Supplier Management module does
- Holds supplier name, contact, email, phone, full address, website and account reference.
- Records payment terms in days, so a due date is derived rather than guessed.
- Classifies suppliers into five categories: materials, services, utilities, equipment and other.
- Flags a supplier as approved and carries a performance rating with notes.

- Carries Xero, QuickBooks and FreshBooks contact references so pushed bills are traceable.
- Links to purchase orders and stock items, so spend and the parts it bought sit on the same record.

What is an approved supplier list and why keep one?
A list of the suppliers your business has vetted and permits buyers to order from. Keeping it inside the system that raises purchase orders is what makes it real: the approved flag is on the record the PO points at, so an order to an unapproved supplier is visible rather than theoretical.
How does supplier data feed spend analysis?
Purchase orders reference the supplier record and carry line-level values and categories, so spend by supplier, by category and by job comes from the orders themselves. Payment terms in days on the supplier turn an order date into an expected payment date.
How does this relate to van stock?
A stock item can name its supplier, so a part below its reorder level is a part with a known place to order it from. Van Stock is a £79-a-month bolt-on and works alongside this module.
