A glazing job is a chain: survey, deposit, order, fabrication, fit, certificate, guarantee. Estimark holds the chain on one job: the quote with the optional trickle vents and the upgraded glass ticked by the customer before they sign, a deposit invoice the same day, the frames and the sealed units receipted line by line as they come off the lorry, the fitting days booked in a window the customer will be in for, the snags photographed and signed off, and the guarantee period recorded against the job with the date the certificate went out. It does not notify FENSA or CERTASS for you, and it does not order glass.

What actually goes wrong

The order does not match the survey

The survey said 1,240 wide. The order said 1,204. The frame arrived, and the fitter found out with the old window already out.

The units came without the doors

The fabricator delivered the windows and back-ordered the composite door. The customer took the day off for a fit that finished at eleven.

The guarantee is a card in a drawer

Ten years, and in year six the customer rings about a failed unit with no record of what was fitted, when, or by whom.

The deposit chased by phone

A signed quote with no invoice against it, and the order to the fabricator waiting on a payment nobody had asked for in writing.

How does the quote turn into an order?

The customer accepts and signs the quote in the portal, choosing any optional lines before they do, and the job is created from what they chose. A deposit invoice is raised from the quote the same day.

  • The signature is stored with the signer’s name, email address, IP address, browser and a timestamp.
  • A purchase order to the fabricator is raised against the job, so the order and the signed quote are two records on the same job rather than an email and a PDF.
  • A payment plan spreads the balance across stages, and every payment recorded is a ledger entry with amount, date, method and reference.

NoteEstimark does not take card payments from your customer and has no finance-provider integration. You invoice, and the money goes to your bank.

How do I track frames, glass and doors separately?

A purchase order is receipted line by line, so the frames can be received while the door stays on order, and the order shows as partially received with the outstanding lines visible.

  • The deliveries view lists what is on order and what has arrived across every live job.
  • Job Costing shows the fabricator’s price against the quote as committed cost the day the order is raised, and as invoiced cost when the bill lands. Purchase Orders and Job Costing are included from Core.
  • The fitting days are booked as appointments in one of five windows, with confirmation and reminder messages by SMS or email through Customer Comms at £29 a month +VAT.

What about the certificate and building control?

Replacement windows and doors are notified either through your FENSA or CERTASS registration or through building control. Estimark holds the certificate against the job once you have it; it does not make the notification and does not hold your scheme registration.

  • The certificate you receive from the scheme is uploaded against the job and compiled into the handover pack with the glass datasheets and the guarantee.
  • For work that goes through building control rather than a scheme, the Building Control Pack bolt-on drafts the documents a full plans or building notice application needs, for your review, at £49 a month +VAT.
  • The pack names the four things a building control body will ask who certified, the electrical work, the gas work, the windows and the heating, and asks you to confirm each route before submitting rather than assuming one is covered by another.

How are snags and the guarantee handled?

Defects are numbered items with a photograph, an assignee and a status that runs open, in progress, rectified and signed off. The warranty period per job records its length in months and the date the certificate was issued.

  • A claim raised by the customer in the portal is logged against the warranty with a severity and a status, so the year-six failed unit has the original job behind it.
  • Photo Management keeps the before-and-after pair per opening, visible to the customer in the portal if you choose.
  • Warranty Management is included from Pro, Defect Management from Core and Photo Management from Solo.

What about commercial glazing?

On a commercial subcontract the work is valued rather than invoiced: a payment application with cumulative valuation and retention, and the Construction Act dates on it.

  • Retention is held at the contract percentage and released in two halves, each as its own record.
  • The reverse charge is set on the main contractor once and applied to every invoice for them, with the section 55A wording on the document.
  • CIS on labour-only fitters is deducted on the labour element at the rate HMRC verification produces. Payment Applications is included from Pro and CIS Compliance from Solo.
