Estimark’s Correspondence Log records formal project correspondence against a job or a tender, each entry carrying a type, a date, a sender and recipient, a subject, a description, an inbound or outbound direction, tags and attachments. Contract disputes are won on the contemporaneous record; this is where you keep it. It is included from the Pro plan (£249/month) up.
What the Correspondence Log module does
- Attaches an entry to a job or to a tender, so pre-contract and post-contract correspondence are both covered.
- Records direction explicitly — inbound or outbound — rather than leaving it implied by who is named.
- Holds sender, recipient, subject, description and a correspondence type.
- Carries tags for retrieval, so a topic can be pulled out of a long project without reading it end to end.
- Stores attachments against the entry.

Why keep a formal correspondence log?
Because under a standard construction contract, notices, instructions and responses have deadlines and consequences, and a claim is settled on what was sent, by whom, and when. An inbox is not a log: it is not shared, it is not tagged, and it does not record the letter that went in the post.
How does it differ from RFIs and variations?
An RFI is a numbered question with a due date and a response. A variation is a priced change with an approval. Correspondence is everything else — the notice, the letter, the minuted position — that has no workflow of its own but has to be findable later.

Can I log correspondence against a tender before it becomes a job?
Yes. An entry attaches to either a job or a tender, so the pre-contract exchange is kept in the same log as everything that follows it.
Does Estimark pull correspondence in from my email automatically?
No. Entries are created in Estimark with their attachments. There is no automatic mailbox sync.
