Estimark’s Customer Comms module sends six kinds of outbound message to a customer or tenant — appointment confirmed, reminder, on my way, no-access card, completed and satisfaction — by SMS or email, and records the recipient, body, send time, delivery outcome, provider reference and any error against the appointment. It also brings the appointment diary itself: a real operative, a date and a booking window. It is £29 a month.
What the Customer Comms module does
- Books an appointment against a repair, a job or a plain client, with a named operative or subcontractor.
- Uses booking windows rather than exact times: morning 8am–1pm, afternoon 12pm–5pm, all day 8am–5pm, school-run friendly 9:30am–2:30pm, or a timed slot.
- Moves an appointment through proposed, confirmed, en route, arrived, completed, no access, cancelled and rescheduled, timestamping each transition.
- Records no access with a reason and an evidence URL, because roughly one visit in ten fails on access and it must be evidenced rather than lost.
- Sends six message kinds over SMS or email and stores the exact body that was sent.
- Keeps a delivery audit trail — delivered flag, provider reference and error text — which is what a housing client asks to see.
- Sets an appointment duration in minutes, taken from the SOR item’s SMV where one is available.

What messages can Estimark send a customer?
Six kinds, each stored as its own record against the appointment so the history reads as a conversation rather than a log.

NoteMessages are sent from the appointment rather than fired by a scheduler — your team or your workflow triggers them, and Estimark records the outcome.
Why book by window instead of by time?
Because housing and domestic customers book by window, not by the minute. Estimark ships the four windows that actually get asked for, including the school-run-friendly 9:30am–2:30pm slot, which is one of the most common requests and the hardest to represent in a system that only understands start times.
How is a failed visit recorded?
As a no-access appointment with a reason and an evidence URL — typically a photo of the card left at the door. That matters commercially: on most repairs contracts a no-access visit is only payable if it is evidenced, and it is only disputable if it is recorded at the time.

Customer Comms

Customer Comms is a paid bolt-on. It is never bundled with Pro, Enterprise or the free trial — it has to be activated explicitly for your company, on top of whatever plan you are on.

How much is Estimark’s customer comms module?
Customer Comms is £29 a month on top of your Estimark plan. It is a paid bolt-on activated separately on any plan.
Can I send an “on my way” text to a customer?
Yes. When an operative sets themselves en route on an appointment, an "on my way" message can be sent by SMS or email, and Estimark stores the exact body sent, the recipient, the send time and the delivery outcome.
Is there a delivery audit trail?
Yes. Every customer message records the channel, the recipient, the message body, the sent timestamp, a delivered flag, the provider reference and any error returned. That is the evidence trail a housing client asks for at contract review.
Are SMS charges included in the £29?
The £29 is the module subscription. SMS is sent through a messaging provider configured for your account, and the message charges from that provider are separate.
Does this include a customer self-service booking page?
No. Appointments are booked by your team. Tenants can report a repair themselves through the resident portal in the Reactive Maintenance module, but they do not pick their own slot.
