Estimark’s Schedule of Rates module holds versioned rate sets of coded items, applies a per-client uplift or discount percentage, and prices repairs line by line against those codes. Social-housing repairs are ordered, measured and invoiced against an SOR code rather than an ad-hoc price, so without this a contractor cannot raise a valid works order or a payable invoice on that kind of contract. It is £199 a month as a bolt-on.
What the Schedule of Rates (SOR) module does
- Holds several rate sets at once — one per contract — each with a name, version, source, description and effective-from and effective-to dates.
- Stores each SOR item with a code, description, unit, rate, trade and category. Codes are unique within a rate set.
- Supports eight units: each, hour, metre, square metre, cubic metre, item, set and day.
- Records Standard Minute Value against an item, so an appointment can be given an expected duration from the code.
- Binds a rate set to a client with an uplift percentage and a contract reference — the "SOR v7.2 plus 4%" arrangement, held as data.
- Snapshots the code, description, unit, base rate and uplift onto each measured line, so a superseded rate set can never silently re-price an issued order.
- Computes the line total as quantity × base rate × (1 + uplift ÷ 100), rounded to the penny.
Schedule of Rates (SOR) — how it works
What is a Schedule of Rates in construction?
A Schedule of Rates is a published list of coded work items, each with a fixed price per unit — for example a code for "renew basin waste trap", priced "each". Repairs contracts, especially in social housing, are let against a schedule so that ordering, measuring and paying all reference the same code rather than a negotiated price per job. The National Housing Federation schedule is the most common UK reference set.
How does Estimark apply a client uplift?
A client SOR agreement binds one client to one rate set with an uplift percentage, and the effective rate is the item rate multiplied by (1 + uplift ÷ 100). A negative uplift is a discount. Each client can hold more than one agreement, with one flagged as the default.

What stops an old order re-pricing when the rate set changes?
Every measured line snapshots the code, description, unit, base rate and uplift at the moment of measure. The line keeps a reference to the SOR item it came from, but its price does not follow that item. When a rate set is superseded, orders already measured against the old rates stay as they were issued.
- Rate sets carry a version and an effective date range, so the set in force on a given date is recorded rather than inferred.
- Deactivating an item stops it being selected without deleting the history that references it.
- The SMV on a line is snapshotted too, so historical productivity reporting stays comparable.
Can I use my own in-house rates instead of NHF?
Yes. A rate set records its source as free text — "NHF", "in-house", or a named local-authority contract — and there is no requirement to use a published schedule. Firms commonly hold an NHF-derived set for one client and an in-house set for another, both live at the same time.

How much is Estimark’s Schedule of Rates module?
Schedule of Rates is £199 a month on top of your Estimark plan. It is a paid bolt-on and is not included with Pro, Enterprise or the trial.
Does Estimark come loaded with the NHF Schedule of Rates?
No. Estimark gives you the structure — versioned rate sets, coded items, units, SMV minutes and client uplifts — and you load the rates your contract uses. Estimark does not redistribute the NHF schedule, which is licensed separately.
What is SMV and why does Estimark record it?
SMV is Standard Minute Value: the expected time an SOR item should take. Estimark stores SMV minutes on the item and snapshots it onto the measured line, which is what lets an appointment be given a realistic duration and an operative’s day be planned by capacity rather than by count.
Can I hold different rates for different clients?
Yes. Rate sets are company-scoped and a client SOR agreement links one client to one rate set with its own uplift percentage and contract reference. A firm holding three repairs contracts can run three rate sets side by side.
Do I need the Reactive Maintenance module too?
For repairs work, yes in practice — SOR lines are measured against a repair, and repairs live in the Reactive Maintenance module (£299/month). Void work items also carry an SOR code, so Void Management is the other natural pairing.
