Estimark’s Reactive Maintenance module runs demand-led repairs against a property register: every repair gets a priority, an SLA response and completion deadline calculated from that priority, an assigned contractor or operative, and a resolution record. It is a £299/month bolt-on built for local authorities, housing associations and the contractors who hold their repairs contracts.
What the Reactive Maintenance module does
- Holds a property register — reference, address, postcode, property type and the landlord client — as the thing repairs are raised against.
- Calculates SLA response and completion deadlines from the repair priority at the moment it is triaged.
- Ships Awaab’s Law presets for damp and mould and for emergency hazards, so those two categories cannot be quietly mis-triaged.
- Gives every property an unguessable token URL for a public resident reporting form — no login for the tenant.
- Assigns a repair to a subcontractor or a named operative, and records who it went to and when.
- Links a repair to a job and to an invoice, so the repair, the work and the money are one chain.

Reactive Maintenance — how it works
What SLA timescales does Estimark apply to a repair?
Estimark sets a response deadline and a completion deadline from the repair’s priority when it is triaged. There are four priorities and each carries a default pair of targets, in hours from the report.

NoteThese are default targets aligned to typical UK social-housing repair categories. Estimark stores the resulting due dates on the repair; it does not currently send an automated breach alert when one passes.
How does Estimark handle Awaab’s Law?
Awaab’s Law, made under the Social Housing (Regulation) Act 2023, sets statutory timescales for hazards reported in social housing. Estimark ships two hazard presets that map a repair straight onto those timescales and a recommended priority.
- Emergency hazard: investigate and make safe within 24 hours of the report. The preset recommends Emergency priority and sets both windows to 24 hours.
- Damp and mould: investigate within 10 working days, and where the investigation identifies a significant hazard, complete the relevant safety work within 5 working days of the investigation being completed. The preset recommends Urgent priority.
- The statutory wording is stored against the preset, so the reason for the deadline travels with the repair rather than living in someone’s head.
- Both categories are surfaced first in triage, which is the practical defence against a damp report being logged as routine.
NoteEstimark tracks wall-clock due dates. The working-day windows in the presets are stored as 24-hour approximations (10 working days is held as 240 hours), so check them against your own working calendar before relying on them contractually.
Can residents report a repair themselves?
Yes. Every property in the register is issued an unguessable token, and that token gives a public reporting URL that a tenant can use with no account and no password.
- A resident submission arrives with status "reported" and reported_via set to "resident portal", so staff-raised and tenant-raised work are distinguishable in reporting.
- The form captures the reporter’s name, contact details, a description, a photo and access notes.
- Priority is deliberately left unset on a resident report — it is assigned by your team at triage, which is when the SLA clock starts.
How does a repair turn into money?
A repair carries a cost field and can be linked to a job and to an invoice. If you also run the Schedule of Rates bolt-on, the repair is measured in SOR lines instead of a single figure, and each line snapshots its code, description, base rate and uplift at the time of measure.
- Repair → linked job → invoice, with the repair number carried through.
- With Schedule of Rates, the billable record is a set of SOR lines: quantity × base rate × (1 + uplift %).
- With Van Stock, parts consumed are booked to the repair, so material cost is recorded rather than estimated.

How much does Estimark reactive maintenance cost?
The Reactive Maintenance module is £299 a month on top of your Estimark plan. It is a paid bolt-on, so it is never bundled with Pro, Enterprise or the free trial — it has to be activated explicitly for your company.
Does Estimark meet Awaab’s Law?
Estimark ships Awaab’s Law presets for damp and mould and for emergency hazards that set the recommended priority and the statutory investigation and works windows on the repair, and store the statutory wording alongside them. Compliance is still yours to deliver — the software records the deadline and the evidence, it does not do the work.
Can it handle repairs reported by tenants?
Yes. Each property has a public reporting URL secured by an unguessable token. Tenants can submit a repair with a description, photo and access notes without an account, and the resulting ticket is flagged as coming from the resident portal.
Is reactive maintenance the same as a planned maintenance contract?
No. Reactive maintenance is demand-led repairs against a property register with priority SLAs. Recurring planned maintenance contracts are a separate part of Estimark and do not require this bolt-on.
Do I need the Schedule of Rates module as well?
Only if your contract is priced against an SOR. Reactive Maintenance on its own records a single cost figure per repair. If you are invoicing a social landlord against NHF-style codes, you need Schedule of Rates (£199/month) to produce a valid priced record.
