Workforce
£29/mo · included with ProHR management built for a construction payroll
Estimark’s HR module holds full employee records — employment type, status, pay type and frequency, start and end dates, department and reporting line — alongside digitally signed contracts, expiry-dated Right to Work and DBS documents, leave policies and balances, performance reviews and disciplinary records. It is included from the Pro plan (£249/month) up.
What the HR Management module does
- Distinguishes PAYE, self-employed and contractor employment types, which is the distinction a construction firm actually needs.
- Tracks employment status through active, probation, notice and terminated, with a probation end date.
- Holds pay type (salary or hourly), pay rate and pay frequency across weekly, fortnightly, four-weekly and monthly.
- Stores departments as a tree with a parent, and a reporting-to line between employees.
- Records seven document types including Right to Work, passport, DBS and driving licence, each with an expiry date.
- Issues employee contracts as HTML with a version, a signing token and a digital signature capturing signer name, IP address and user agent.
- Runs leave with a company policy (annual days, sick days, carry-over days and carry-over expiry), per-user yearly balances and approval-routed requests.
- Holds performance reviews with objectives, skills and attitude ratings, and disciplinary records from verbal warning through dismissal and grievance.
- Records policy acknowledgements with the policy version, the acknowledgement timestamp and the IP address.
HR Management — how it works
How does Estimark handle Right to Work checks?
As an expiry-dated employee document. Right to Work is one of seven document types on an employee record, stored with its file, a name and an expiry date, which is what lets a follow-up check be scheduled rather than forgotten. The check itself — verifying the document or using the Home Office online service — is yours to carry out.
Are employment contracts signed digitally?
Yes. A contract is generated as HTML from a template, versioned, and sent with a signing token and an expiry. The signature record captures the signer’s name, the signature image, the IP address, the user agent and the signed timestamp — the same evidence set Estimark uses for client quote signatures.
How does leave work?
A company leave policy defines annual and sick day entitlements plus carry-over days and how many months carry-over survives. Each user then has a balance per year and per leave type holding allocated, used and carried-over days, and remaining days is derived from those three. Requests carry a type, dates, days requested, a status and a reviewer with review notes.
- Seven leave types: annual, sick, unpaid, compassionate, maternity, paternity and other.
- Requests move through pending, approved, rejected and cancelled.
- The reviewer and their notes are stored on the request, so an approval is attributable.

Questions
HR Management — frequently asked
Which plan includes HR management?
HR Management is included from Pro (£249 a month) upward and with Enterprise, or £29 a month individually on Solo or Core.
Does Estimark run payroll or file RTI?
No. Estimark holds the employee record, pay type, pay rate, pay frequency, tax code, NI category and bank details, and produces payroll-ready timesheet exports. It does not calculate PAYE, run payroll or file RTI with HMRC.
Can employees sign their contract online?
Yes. Contracts are issued with a signing token and captured with the signer’s name, signature, IP address, user agent and timestamp against a specific contract version.
How is a Right to Work check recorded?
As an employee document of type "right to work" with its file and an expiry date, so a time-limited permission surfaces for re-checking before it lapses.
