Timesheets that turn hours into job cost

Estimark’s Timesheets module records hours against a job and a worker with an hourly rate, computes the labour cost per entry, and holds an approval flag with the approver’s name. Entries are categorised as labour, plant or other, so a timesheet feeds job costing rather than just payroll. It is included from the Solo plan (£29/month) up.

What the Timesheets module does

How do hours become a labour cost on the job?

Each entry carries hours and an hourly rate, and labour cost is the product of the two. Because the entry also carries a job ID and a cost category, that figure lands against the job rather than sitting in a separate payroll world — which is the difference between knowing a job’s labour cost this week and knowing it after the accountant has been.

Can timesheets be created from site attendance?

Yes. Estimark’s QR site attendance lets an operative scan a job’s QR code to clock on and off, with a GPS radius check on the scan, and a timesheet entry is generated automatically from the resulting attendance record. That is the route most firms take, because a timesheet nobody has to remember to fill in is a timesheet that is accurate.

Does Estimark run payroll?

No. Estimark produces payroll-ready exports of approved hours; it is not a payroll bureau, it does not calculate PAYE or NI, and it does not file RTI with HMRC. It is the record your payroll runs from.

Can operatives clock on with their phone?

Yes. Each job can carry a QR code; scanning it clocks the operative on or off, with a GPS distance check against the site location, and a timesheet entry is created from the attendance record. Estimark is an installable web app — there are no native iOS or Android apps yet.

Does Estimark do payroll and RTI?

No. Estimark records and approves hours and produces payroll-ready exports. It does not calculate PAYE, does not run payroll and does not file RTI with HMRC.
