Estimark’s Plant & Equipment module tracks each plant item as owned, hired or both, with a hire rate and an owned rate, a serial number, a QR code, a current location and an asset status. It holds recurring maintenance schedules with a next-due date, logs each service done with its cost, and records check-out and check-in against a job with hours used. It is included from the Pro plan (£249/month) up.

What the Plant & Equipment module does

Plant & Equipment — how it works

How does Estimark handle plant maintenance intervals?

As a schedule per item: a service type, an interval in days, the date it was last done and the resulting next-due date. Each completed service is logged with the date, who did it, the cost and the new next-due date, so the schedule advances from a record rather than from a reminder someone reset.

NoteThe schedule is a general recurring service and inspection mechanism driven by a service type and an interval in days. Set it up to match whatever regime applies to the item — Estimark does not encode a specific statutory inspection regime for you.

How is plant charged to a job?

Through the usage log: an item is checked out against a job with an operator and a location, checked back in, and the hours used are recorded. Combined with the item’s hire or owned rate, that is the plant cost line on the job. Timesheet entries can also be categorised as plant.

What is the QR code on a plant item for?

Identifying the asset in the field. Each plant item can hold a QR code alongside its serial number, current location and asset status, so the physical item on site resolves to the record that knows its service history and where it is supposed to be.
