Estimark’s Van Stock module tracks quantity on hand for every stocked part at every van, store and site, and records each movement as an immutable ledger entry so stock levels are derived rather than typed. Its point is that an operative knows the part is on the van before accepting the job, and the business gets material cost booked to the job rather than estimated. It is £79 a month.
What the Van Stock & Inventory module does
- Defines stock locations of three types — van, store or site — with a van optionally tied to a driver and to a vehicle record.
- Holds a parts catalogue with SKU, name, unit, unit cost and supplier. SKUs are unique per company.
- Keeps one stock level row per location and item, so "what is on Dave’s van" is a query, not a stocktake.
- Records five movement types: receipt, issue, return, transfer and adjustment.
- Books an issue against a job or against a repair, which is what makes material cost on a job real.
- Carries a reorder level per item, so anything below it appears on the reorder report.
- Stores unit cost on the movement, so consumption is valued at what it actually cost.
- Stamps every movement with who created it and an optional reference and note.
Van Stock & Inventory — how it works
How does Estimark track stock on a van?
A van is a stock location. Every item at that location has a stock level row holding its quantity, and every change to that quantity is written as a stock movement — an immutable ledger entry. Levels are derived from movements rather than edited directly, so a discrepancy always has a trail behind it.

How does van stock make job costing accurate?
An issue movement carries a job ID or a repair ID and a unit cost, so the parts fitted are booked at cost against the work they were fitted on. Without that link, material cost on a job is whatever someone remembered to type — which is the usual reason a job that looked profitable was not.
- Issue movements link to a job or to a reactive repair.
- Unit cost is recorded on the movement, not just on the catalogue item, so a price change does not retrospectively revalue past consumption.
- Pairs with the Job Costing module, where material becomes one of six cost categories against the budget.
Can stock be moved between vans?
Yes. A transfer movement records a from-location and a to-location, so a part passed from one van to another leaves a record at both ends rather than disappearing from one and appearing in the other unexplained.
How do reorder levels work?
Each catalogue item carries a reorder level as a whole number. When quantity on hand falls below it, the item appears on the reorder report. The level is set per item, not per location, so it describes the part rather than the van.

How much is van stock software from Estimark?
Van Stock & Inventory is £79 a month on top of your Estimark plan. It is a paid bolt-on and is activated separately on any plan.
Can electricians use it to track cable and accessories on the van?
Yes. Items are defined with their own unit — each, metre, box — and unit cost, and stock levels are held per van. An issue movement books consumption to the job the parts were fitted on.
Does it do barcode scanning?
Items carry a SKU that is unique per company, and movements are recorded through the app. Estimark does not currently ship a barcode scanner integration for stock movements.
Does van stock link to the vehicle records in Fleet Management?
Yes. A stock location of type "van" can reference a company vehicle record, so the van holding the stock is the same van with the MOT date and the daily checks against it.
Does it work offline?
Estimark is an installable progressive web app with an offline field mode. There are no native iOS or Android apps yet — those are in development.
