Estimark’s Custom Forms module lets you define your own forms and checklists from nine field types, show or hide fields based on earlier answers, and attach the form to a job, a repair, a property, a void or nothing at all. Every submission snapshots the schema it was completed against, so a form you change next year does not break the record someone signed last year. It is £49 a month.
What the Custom Forms module does
- Nine field types: text, long text, number, date, select, multi-select, checkbox, photo and signature, plus section headings.
- Conditional logic on any field — show this question only if an earlier answer equals a given value.
- Attaches a form to one of five entity types: job, repair, property, void, or standalone.
- Marks a form as required, which blocks the parent job or repair from being closed until it is completed.
- Versions form definitions, and snapshots the schema onto each submission so historical records render exactly as they were completed.
- Records who submitted, when, and a signature image against the submission.
- Marks a form inactive to retire it without deleting the submissions that reference it.

What can I build with custom forms?
Anything that is a list of questions with an answer, a photo or a signature: a pre-start check, a plant inspection, a handover sheet, a client sign-off, a bespoke test sheet a particular contract demands. The point of the module is that a one-off "can it capture X?" requirement does not have to become a hard-coded feature and a release cycle.
- A field descriptor carries a key, a label, a type, whether it is required, and an optional show-if rule.
- A show-if rule points at another field key and a value it must equal.
- Section fields group a long form into readable blocks on a phone.
What happens to old submissions when I change a form?
Nothing. Each submission stores a snapshot of the schema it was completed against, plus the form version number. Changing the live form creates a new version for future submissions and leaves every existing record rendering with the questions that were actually asked. This is the difference between a form builder you can trust as a record and one you cannot.
Can a form be made mandatory before a job is closed?
Yes. A form marked as required must be completed before the job or repair it is attached to can be closed. That is the mechanism for making sure the commissioning sheet or the client signature actually happens, rather than being chased afterwards.

Custom Forms is a paid bolt-on. It is never bundled with Pro, Enterprise or the free trial — it has to be activated explicitly for your company, on top of whatever plan you are on.

How much do custom forms cost in Estimark?
Custom Forms is £49 a month on top of your Estimark plan. It is a paid bolt-on, activated separately on any plan.
Can a form capture a customer signature on site?
Yes. Signature is one of the nine field types, and the submission stores the signature image alongside the answers, the submitting user and the timestamp.
Do custom forms replace Estimark’s certificates and RAMS?
No. Electrical and gas certificates and RAMS are structured records with their own rules and sign-off behaviour, and they are separate parts of the product. Custom Forms covers everything those do not — the bespoke checklists that vary by firm and by contract.
Can forms be completed on a phone with no signal?
Estimark is an installable progressive web app with an offline field mode. Native iOS and Android apps are in development but are not available yet.
