Estimark’s Health & Safety module holds the four records a UK principal contractor asks for on day one — RAMS, site inductions, toolbox talks and safety observations — plus permits to work, and can gate site clock-on against them. RAMS are versioned and an operative signs a specific version, so "who accepted v2" is answerable without reconstructing history. It is included from the Pro plan (£249/month) up.
What the Health & Safety module does
- Versions every RAMS document: versions are separate records sharing a group, with an explicit supersedes link and a status of draft, issued, superseded or archived.
- Records each operative’s acceptance against the exact version they signed, with the signature, method, timestamp and IP address.
- Accepts sign-off by QR scan, in-app or on paper, so a subcontractor without a login is not a hole in the record.
- Holds site inductions with a valid-until date, so an induction expires rather than lasting forever.
- Logs toolbox talks with topic, presenter, date, duration and a signed attendance list.
- Captures safety observations in four types — near miss, unsafe act, unsafe condition, good practice — with actual and potential severity on a five-point scale.
- Runs observations through open, in progress and closed with an immediate action, corrective action and root cause.
- Issues permits to work in six types including hot work, confined space and working at height, with valid-from and valid-to times.
- Offers three site-gate modes — off, warn or block — so a two-person builder is not locked out of their own site while a principal contractor can enforce from day one.

How does Estimark version a RAMS document?
Each version of a RAMS is its own record, sharing a group identifier with the other versions and pointing at the version it supersedes. An operative signs a row, not a document, so the system can say exactly which revision each person accepted and when — which is the question that gets asked after an incident.
- Fields cover scope of works, hazards, control measures, method statement, PPE required and emergency arrangements.
- A review date sits on the document, and status moves draft → issued → superseded → archived.
- A sign-off records the person’s name, company and role, so a subcontractor’s operative is identified even without a user account.
Can Estimark stop someone clocking on without an induction?
Yes, if you want it to. The site gate has three modes. Off records the failure and lets the person on. Warn shows the failure at clock-on. Block refuses the clock-on. It defaults to off everywhere, because a small builder locked out of their own site by their own software will simply stop using it.

What is a near miss and why record potential severity?
A near miss is an event that could have caused harm but did not. Estimark records both what happened and the potential severity had it played out — negligible, minor, moderate, major or fatal — because potential severity is the leading indicator. A scaffold board that fell into an empty area is a fatal-potential near miss, and grading it by actual outcome hides that.

Which Estimark plan includes health & safety?
Health & Safety is included from the Pro plan (£249 a month) upward, and with Enterprise. On Solo or Core it can be activated individually for £19 a month.
Does Estimark write my RAMS for me?
Estimark structures the RAMS — scope, hazards, control measures, method statement, PPE and emergency arrangements — and handles versioning, issue and per-operative sign-off. The competent person writing it is still you.
Can subcontractors sign a RAMS without an Estimark login?
Yes. Sign-off records the person’s name, company and role and supports QR scan, in-app and paper methods, so an operative from a subcontractor with no account is still an identified signature against a specific version.
Does Estimark cover permits to work?
Yes. Permits are issued in six types — hot work, confined space, electrical, working at height, excavation and other — with a permit number, a risk level, precautions, PPE, a location, valid-from and valid-to times, and a status of draft, active, suspended, closed or cancelled.
