Quality assurance checklists that get signed off

Estimark’s Quality Assurance module holds reusable inspection checklist templates by trade, and turns each one into a numbered checklist against a job with a result and an optional photo per item, an inspector, an inspection date and a named sign-off. It is included from the Pro plan (£249/month) up.

What the Quality Assurance module does

  • Defines checklist templates per company with a trade, name and description, and ordered items grouped by category.
  • Marks individual template items as required, so an inspection cannot be signed off with a mandatory item blank.
  • Ships system templates alongside your own, so you are not starting from an empty screen.
  • Creates a numbered checklist against a job, carrying trade, location, inspector name and inspection date.
  • Records a result and notes per item, with a photo attached where the result needs evidence.
  • Captures a sign-off name and date on completion.

Quality Assurance — how it works

How do QA templates and checklists relate?

A template is the reusable definition — the questions, their order, their category and whether each is required. A checklist is one completed instance of that template against one job. Items on the completed checklist keep a reference to the template item they came from, so results stay comparable across jobs even as the template evolves.

Does this support ISO 9001?

Estimark holds the inspection records an ISO 9001 quality management system depends on: defined inspection criteria per trade, dated records of inspection against those criteria, evidence in the form of photos and notes, and a named sign-off. Certification is an audit of your system, and Estimark is a component of it rather than a substitute for it.

How is QA different from defect management?

QA is a planned inspection against defined criteria before work is accepted. Defect management is what happens to the items that fail — logged, photographed, assigned and chased to sign-off. Most firms run both: the checklist finds it, the defect record closes it.

Questions

Quality Assurancefrequently asked

Which plan includes quality assurance?

Quality Assurance is included from Pro (£249 a month) upward and with Enterprise. It can be activated individually for £15 a month on Solo or Core.

Can I build my own inspection checklists?

Yes. Templates are company-scoped with a trade, ordered items, categories and a required flag per item. If you need free-form forms with conditional logic, photos and signatures beyond inspection checklists, that is the Custom Forms bolt-on at £49 a month.

Can an inspection item carry a photo?

Yes. Each completed checklist item holds a result, notes and an optional photo, which is what makes a failed item defensible when it turns into a defect or a dispute.
