Construction software spend calculator
A UK contractor under about twenty people is usually paying for five things separately: a job-management app, estimating software or price data, clocking in and timesheets, HR and holiday, and health and safety or RAMS. This adds up what you pay for the ones you tick, from your own figures, and puts the total beside the Estimark plan that seats the same office and field people and bundles the modules those rows map onto, at the prices on the pricing page. It also says what Estimark does not replace, because an accounts package and an accreditation are not lines a subscription removes.
Last reviewed by Estimark. This page states periods and rates set by statute or by standard contract terms. Those move, and this date is when somebody last read the page against its source rather than the day the site was built.

What Estimark does not replace
- Your accounts package. Invoices are pushed to Xero, QuickBooks or Sage and payment status comes back; the ledger, the VAT return and the year end stay where they are.
- Certification. Estimark is not SSIP, CHAS, SafeContractor or SMAS assessed, and holds no security certification: no ISO 27001, no SOC 2, no Cyber Essentials. It holds the evidence an assessor asks for and does not accredit you.
- An employment law advice line, tribunal indemnity insurance or a library of reviewed risk assessments. If part of what you pay for is a person, keep that part.
- Payroll and its filings. Hours and CIS come out as exports for your payroll system or bureau, and nothing is filed with HMRC from Estimark.

- Solo: £39 +VAT a month, 2 users included.
- Core: £129 +VAT a month, 5 users included, then £39 +VAT per office user and £29 +VAT per field user a month above that.
- Pro: £299 +VAT a month, 20 users included, then £49 +VAT per office user and £29 +VAT per field user a month above that.
- Enterprise: quoted against the contract, so the calculator does not pick it.
All prices exclude VAT, added at 20% at checkout.
What counts as a line?
Anything you pay for, monthly or annually, that one of the five rows describes, whichever vendor it is. Type the monthly figure; for an annual licence, divide by twelve.
- Only ticked rows count. A figure typed into a row you do not tick is ignored, and typing a figure ticks the row.
- Type the figure on the same VAT basis as the plan price beside it, so the two compare like with like. Some vendors publish no VAT position, and the survey linked under each row says which.
- A vendor you pay for two of the five things goes in the row it mostly is. Splitting one bill between two rows changes nothing about the total.
The calculator cannot know whether a line is software at all. An employment law advice line billed alongside HR software is a service, and consolidating software does not remove it.
How is the Estimark plan chosen?
It is the lowest plan that seats the people you named and bundles the modules the ticked rows map onto: Timesheets for clocking in, HR Management for HR and holiday, Health & Safety for RAMS. Quoting, the job record and invoicing are on every plan, so the job management and estimating rows never move it.
- Every plan includes a number of users. The plans that sell extra seats charge above that at one rate for an office user and another for a field user, and the included users are counted against the office first.
- Read-only viewer seats are free and are not counted, so an accountant or a client looking in costs nothing.
- Enterprise is quoted against the contract rather than listed, so the calculator never picks it. Past the listed plans it points at the quote form instead.
The plan is chosen on seats and modules. It cannot tell whether a module does what your current tool does for you; the module pages say what each one holds.
What does consolidating not save?
Anything that is a person or a licence to operate rather than software. Several lines on a contractor’s bank statement are that, and moving the software half does not move them.
- Your accounts package stays. Estimark pushes invoices to Xero, QuickBooks or Sage and reads payment status back; it does not post journals, file a VAT return or run the year end.

- Payroll stays. Hours and CIS come out as exports for your payroll system or bureau, and Estimark does not file the CIS300 or RTI with HMRC.

Common questions
- How much does a ten-person contractor pay for software?
- On list prices read from each vendor’s own UK pricing page on 15 September 2026, anywhere from under a hundred pounds a month to over eight hundred, for much the same set of jobs. The spread comes from the billing unit rather than the feature list, and the survey linked from each row shows the figures.
- Why does it ask how many office and field people?
- Because every plan includes a number of users, and the plans that sell extra seats charge above that at different rates for the office and the site. A comparison that guessed at headcount would flatter whichever side the guess favoured, so the figure is only honest with the seats in.
- Does it prefill what other vendors charge?
- No. The figures are yours, from your own invoices. The published list prices for each category are linked under the row, each with the date it was read.
- Is Estimark always cheaper?
- No. Two of the five categories have a free option that covers a firm of ten, and a firm paying a flat company band for one tool may pay less on that line than a plan priced per seat. The result shows the difference in either direction and does not round it in Estimark’s favour.
- Does this calculator store anything?
- No. The arithmetic runs in your browser. Nothing is sent to a server, nothing is stored, and there is no email address to give.
